Do not use the inbox as the only record. Store state, owner and a link to the original message. Measure time to assignment, reclassifications and accepted-draft percentage. At low volume, well-configured filters and templates may solve the problem without more infrastructure.
Generating documents from approved data
Quotes, standard contracts, certificates and reports can be generated from a template and validated data. This reduces transcription mistakes and prevents continued use of an old document version.

The approach I trust most is: simplify, assist, measure, then automate more.

- Choose a frequent part with limited impact if it fails.
- Define the input, outcome, owning system and person who handles failures.
- Run the workflow beside the existing process for a short period.
- Record outcomes, human intervention, failures and time.
- Correct rules and edge cases before increasing volume.
- Add autonomy only when the reviews show that it is safe.
A useful pilot needs logs, identifiers, safe retries and an error queue from day one. They are not second-phase extras. They make the workflow operable when reality moves beyond the diagram.
For example, a pilot may aim to halve shared-inbox classification time without increasing missed messages. If it saves five minutes per email but makes someone monitor two new queues, it has not solved the problem. It has moved it.
